With the availability of AI-driven omnichannel marketing automation and CRM platforms, you might expect that communication with prospective students has reached new levels of precision and personalization.
But, as eduConverse's early insight into our most recent college secret shopping research reveals, many institutions continue to miss opportunities to foster meaningful connections.
This early snapshot provides valuable insights into the current state of recruitment communication—and how we can address its pitfalls to help teams like yours focus on what matters most: guiding students on their educational journeys.
Key Findings from Early Data
Since last fall, eduConverse has been "secret shopping" 100 colleges across the country. Our student shopper is a high school senior from a well-regarded Atlanta public school with a 3.5 GPA and interests in biology and theater.
Here's what we've uncovered so far:
Follow-Up Challenges:Â While 87 of the 100 institutions followed up with the student, those efforts often lacked direction or personalization.
She received 975 total emails.
Of these, 155 emails from 53 institutions never reached her inbox, landing directly in her Spam folder.
13 institutions failed to follow up at all.
Missed Personalization Opportunities:Â Despite sharing clear interests in biology and theater, most communication failed to align with those preferences.
Only 21 institutions addressed her interest in biology across just 47 emails—a drop in the bucket compared to 76 emails simply directing her to "find her major" on the college's website.
A mere eight colleges acknowledged her interest in theater.

Over-Reliance on Generic Tactics:Â Institutions leaned heavily on impersonal, deadline-driven strategies.
She received 94 faux-urgency-to-act emails ("apply by midnight" and "today is the last day to apply"), with the same cycle repeated.
The data paints a concerning picture: technology is capable of delivering personalization and engagement, yet current practices fall short of fulfilling that promise.
So, why is this happening? Let's explore the root cause.
Why College Recruitment is Falling Short
From our analysis, three key issues emerge as drivers behind these challenges:
1. Outdated Admissions CRM Platforms
Many institutions rely on legacy CRM systems tailored narrowly to higher education. While these systems form the backbone of admissions operations, they often lack advanced features to optimize email deliverability and personalization, as well as to integrate with other communication channels. Worse, some fail to meet deliverability best practices, sending emails straight to Spam folders.
2. Lack of Recruitment Communications Planning
In today's fast-paced environment, admissions offices struggle to create and manage cohesive messaging strategies. Too often, communication plans amount to an uncoordinated series of emails patched together without intentional alignment to the institution's brand message and, worse, prospective students' interests or needs.
3. Admissions CRM Insourcing
Admissions staff are increasingly expected to wear multiple hats: from content creation to CRM management and everything in between. These tasks are outside their core expertise, consuming valuable time that should be directed toward building relationships and guiding students.
Faced with these challenges, how can admissions leaders reclaim their focus and deliver the targeted engagement prospective students expect?
That's where eduConverse can empower your team.
